Board Minutes, Palm Beach County Beekeepers Association

March 4, 2011

Meeting called to order at 5:48 PM

 Present: Len Khan, Jim Chapman, Sara White, Christine Schwartz,

 Brendhan detained in Miami, arrived at 6:30PM. 

 

February Board minutes read and approved.

Yahoo Group-  Sara indicated, in general,  no problems with Yahoo Group.  Some people asking to join.  She checks in they are members; if not, she sends e-mail telling them they must join the association.

A few members have trouble accessing the site, which appears to more a lack of computer skills.

Directions given are explicit.  The most common mistake is that members first need to sign up for the free Yahoo account.

Association WebSite-  Jim Chapman said the calendar is working fine and he is adjusting the calendar as needed.  Len’s son is redesigning the web site which has limitations as it now exists. The  Association  is looking to improve and make web site more user friendly.  This will ultimately involve replacing the web site.  Currently there are approximately 125 e-mail a day to the site.

 

Telephone calls to 561 206 HIVE (4483)- Brendhan needs to transfer ownership to the association as agreed after the SEOBC.  Board is looking at AT&T to compare to current Google number to see which is more efficient.  The main reason is to reduce e-mails which occur when the phone is not answered.

Currently the association will continue Google with a dedicated number.

Martin County Fair- There was a profit of $307.76.  In the future if the association decides to continue this venue, a committee should be formed for the various job entailed, i.e.. inventory, volunteers, observation bees.

SEOBC-  Income/expense sheet was passed out.  There was an initial profit of $1,043.83.  Beginners were verbally told by Brendhan that the registration fee would include one year free membership to the association.  Association membership of $20. includes $15. being sent to the FSBA.  Although there was nothing in writing to this effect of free membership on the registration; the board agreed based on the verbal statement, the association would in good faith pay the FSBA $15. fee which then lowers the profit to $363.

501C(3)- Letter received from the IRS which determined that the association is now exempt from federal income tax under the 501C(3) (meaning we were approved).  Since only a letter was sent out with no certificate, copies are to be made and distributed to board members.  The association is now eligible to write grants as not-for-profit.

IRS contact- Since the 501C(3) is now approved, Sara White, the treasuer is to be the sole contact with the IRS.

Demonstration Hive and Pine Jog Environment Center-  The association will be purchasing either a nuc or hive (depending on availability) to be placed at Pine Jog.  The association previously voted to cover costs of maintaining the hive which is to be used for demonstration purposes, education, and allowing

hands-on experience of working a hive.

Outreach-  March 8, 2011-Grassy Waters Elementary,  2:30, Brendhan Horne will present at the request                         of the science teachers.

                    March 23, Jupiter Library, 6:30 PM, Brendhan Horne will present

                    March 25, HIS Academy at 2:00PM, Len Khan will present

                    April 16, Naturescaping at McArthur Beach State Park, to be arranged.

                    April 23, Daggerwing Park, Boca Raton- Earthday 10AM -3PM-to be arranged.

                     April 30-Jupiter, 8AM-4PM, Mother Earth theme, There is a vendor fee of $75.

                    To be discussed at general meeting next month.

                    May 13, Grassy Waters Elementary Career Day-to be arranged.

University of Florida Bee College- The master bee program will take place March 10.  Bee College,

separate from the Master Bee Program, will take place March 11-12.
